Instructions for managing documents in the Document Exchange.

Downloading Documents | Uploading Documents | Deleting Documents | Editing Documents



Downloading Documents:

Click Download at the end of the document listing.



An File Download box will appear.



Make the option to either:

  • Open: Opens the document right away.


  • or

  • Save: Gives you the option to save the document on your computer and view it at a later time.





  • Uploading Documents:

    Hover your cursor over the slightly faded Manage button in the top left corner of the document manager.



    An Edit menu will appear.



    Click Add new document. This will take you to the Edit Documents page.



    Fill out the information on the Edit Documents page:

    • Title: Enter the name of your document. Please end document title with dates in the following format: 061612 (June 16, 2012).


    • Description: Enter the your intentions for the document, ex. "For John".


    • Category: Leave this field blank.


    • Owner: Choose your name from the drop-down list.


    • Link Type: Choose the type of file your are entering. For uploading documents leave as File ( A File On Your Site ).


    • File Location: Select Academy Document Exchange.


    • File Name:
      • If your file is already uploaded to the Academy Document Exchange folder, select it from the File name list.

      • If you are uploading a brand new document, click Upload New File below the file list. Click Browse and search your computer for the desired file. After selecting your file, click Upload Selected File.

    You may skip the remaining fields and click Update at the bottom left. Your file upload is complete.





    Deleting Documents:

    Click the document icon to the left of the file name of the document you wish to delete.



    This will take you to the Edit Documents page.



    At the end of the form, you will see three options for the current document:



    Click Delete to delete the current document.





    Editing Document Info:

    Click the document icon to the left of the file name of the document you wish to edit.



    This will take you to the Edit Documents page.



    Make the necessary changes. Here you may edit any information about the document, including switching the document out with another, more updated version of the document.

    Note: To upload an updated document, please refer to Uploading Documents. A document of the same name will be replaced automatically without notification. It is best to end your document title and file name with dates in the following format: 061612 (June 16, 2012).

    At the end of the form, you will see three options for the current file:



    Click Update to save your changes.
